The Lions Club of Golders Green is the data controller for the personal information described in this notice. We are registered with the Information Commissioner's Office (ICO) as a data controller.

We only collect information that we need in order to run the club and respond to you:

• Contact details you give us — your name, email address, telephone number and the content of any message you send through our enquiry form.
• Membership information — details you provide when you apply to join or take part in club activities.
• Support requests — information you choose to share when asking the club for help, which may include details about your circumstances.
• Technical information — basic, non-identifying information about how the website is used, needed to keep it secure and working properly.

We do not buy personal data from third parties and we do not use automated decision making or profiling.

• To reply to your enquiry or request for help.
• To process and administer membership applications.
• To organise club events, projects and fundraising, and to keep members informed.
• To keep proper records of our charitable activities and donations.
• To meet our legal, safeguarding and accounting obligations.

• Legitimate interests — responding to enquiries, running the club and carrying out our charitable purposes, where this does not override your rights.
• Consent — where you have asked to receive news or updates from us. You can withdraw consent at any time.
• Legal obligation — where we must keep records, for example for accounting or safeguarding.

Where you share sensitive information (for example about health) in a request for help, we rely on your explicit consent, or on the substantial public interest basis for not-for-profit bodies.

We never sell your personal information. We share it only where necessary:

• With trusted service providers who host our website, database and email, under contracts that require them to protect your data.
• With Lions Clubs International or our District, where membership administration requires it.
• Where we are required to do so by law, or to protect someone at risk of harm.

Our suppliers may process data outside the UK. Where that happens, we rely on UK adequacy regulations or approved safeguards such as the International Data Transfer Addendum.

• Website enquiries: up to 24 months after your enquiry is closed.
• Membership records: for the duration of your membership and up to 7 years afterwards.
• Donation and financial records: 7 years, as required for accounting purposes.

We delete or anonymise information once it is no longer needed.

Our website and database are hosted on secure, encrypted services. Access to personal information is restricted to the club officers who need it, protected by individual accounts and passwords. Enquiries submitted through this site cannot be read by other visitors.

Under the UK GDPR you have the right to:

• Be told how your information is used and ask for a copy of it.
• Have inaccurate information corrected.
• Ask us to erase your information, or to restrict or object to how we use it.
• Ask us to transfer your information to another organisation.
